Possition Summary
The Payroll & HR Coordinator supports the day-to-day administration of payroll, employee records, onboarding, workforce administration, compliance documentation, and other Human Resources functions.
This position serves as an important point of coordination among employees, management, payroll vendors, government agencies, and internal departments.
A significant part of the role involves supporting payroll for a large hourly workforce of approximately 250–300 employees, maintaining accurate employee records, coordinating Personal Care Worker workforce administration, responding to employee requests, and helping ensure HR-related processes are completed accurately and timely.
The Payroll & HR Coordinator may also assist management with additional HR-related matters and projects as the organization continues to grow.

Payroll Administration
Process payroll accurately and according to established payroll schedules for approximately 250–300 employees
Review employee timecards for accuracy and completeness
Process approved timecard corrections, adjustments, and back-pay calculations
Verify and enter approved payroll changes
Maintain payroll information within the organization's payroll system
Review payroll journal and pre-processing reports prior to payroll submission
Process authorized payroll deductions, including taxes, garnishments, and other deductions
Maintain direct deposit and payroll-related employee information
Research and help resolve payroll discrepancies
Reconcile payroll information and identify discrepancies requiring correction
Prepare payroll reports for management
Respond professionally to employee and management payroll questions
Assist with payroll tax documentation and related payroll records
Maintain organized payroll documentation
Help ensure payroll practices follow applicable federal, state, and local requirements
Escalate complex payroll or compliance questions when appropriate
Employee Records & HR Administration
Maintain accurate employee records for new hires, current employees, and terminated employees
Process approved employee status and employment changes
Maintain compensation and payroll-related employee information
Process approved wage increases and compensation changes
Coordinate employment verification requests
Maintain organized personnel files and supporting documentation
Review employee files for missing, expired, or incomplete documentation
Conduct and coordinate employee file audits
Assist with personnel record audits for Personal Care Workers, office staff, nurses, and other applicable employees
Follow up with employees and managers regarding outstanding HR documentation
Maintain confidentiality and appropriately handle sensitive employee information
Assist with preparation of HR reports and workforce information
Help ensure employee records remain accurate and current
Personal Care Worker Workforce Administration
Support administration and maintenance of the Personal Care Worker workforce
Coordinate PCW orientations and onboarding activities
Assist new employees through applicable onboarding requirements
Track required employment documentation
Process approved PCW wage increases and employment changes
Assist with employee retention and workforce-support initiatives
Coordinate employee compliance requirements, including applicable health screening or testing documentation
Follow up with employees regarding missing or expiring requirements
Maintain accurate status information for active and inactive employees
Coordinate with scheduling, operations, and management regarding workforce-related matters
Help maintain an organized and responsive caregiver workforce
Recruiting & Onboarding Support
Assist with recruiting and applicant coordination
Review and organize applicant information
Schedule interviews and communicate with applicants
Assist managers with interview coordination
Prepare and process new-hire documentation
Coordinate pre-employment requirements
Facilitate or assist with new-hire orientations
Enter new employees into applicable HR and payroll systems
Follow up on incomplete onboarding requirements
Help provide a professional and welcoming onboarding experience
Maintain accurate records of applicant and new-hire status
Employment Verifications & Agency Requests
Complete employment verification requests accurately and timely
Respond to authorized wage and employment information requests
Assist with requests from government agencies and other authorized entities
Gather required employment records when necessary
Coordinate required responses with management when appropriate
Maintain accurate documentation of completed requests
Compliance & File Auditing
Conduct regular reviews of employee files for completeness
Track missing and expiring employee documentation
Follow up with employees and supervisors regarding outstanding items
Assist with preparation for internal and external HR-related audits
Maintain organized documentation supporting employment and workforce compliance
Identify inconsistencies or documentation concerns and escalate them as appropriate
Support continuous improvement of HR administrative processes
Help ensure HR records are maintained consistently and securely
Administrative & Operational Support
Assist management with day-to-day HR administrative matters
Support HR-related projects as assigned
Maintain organized tracking systems for HR responsibilities and deadlines
Assist with implementation of improved HR processes and workflows
Help identify administrative issues and recommend practical solutions
Coordinate with operations, payroll, finance, and other departments as needed
Prepare reports, spreadsheets, and workforce information for management
Maintain professional communication with employees and internal departments
Assist with other HR and workforce-administration responsibilities consistent with the position
Qualifications Required
High school diploma or GED
Bilingual English/Spanish
2+ years of payroll, HR administration, workforce administration, or closely related experience preferred
Experience processing payroll or supporting payroll administration
Experience with a major payroll or HR information system
Strong spreadsheet skills, including Excel or similar applications
Strong attention to detail and accuracy
Excellent organizational and time-management skills
Ability to manage multiple priorities and deadlines
Strong written and verbal communication skills
Ability to take initiative and research problems through resolution
Comfortable handling confidential and sensitive employee information
Ability to work independently while collaborating effectively with others
Comfortable working in a fast-paced environment with a large employee population
Preferred:
Associate degree or college coursework in Human Resources, Business Administration, Accounting, Healthcare Administration, or a related field
Previous Human Resources experience
Payroll experience supporting a large hourly workforce
Experience in healthcare, home care, home health, or another regulated industry
Experience with onboarding and employee file administration
Experience handling employment verifications
Familiarity with wage-and-hour requirements and general HR compliance
Experience conducting employee-file or personnel-record audits
